POSITION DESCRIPTION
Position: Marketing & Production Coordinator
Terms: 2 to 3 days per week (fixed contract until December 2021, with opportunity to extend)
Reports to: General Manager
Salary: $55k – $68k (pro rata, plus super) depending on experience
OVERVIEW
Join the team of one of Australia’s leading chamber music ensembles. Based in Sydney, Omega Ensemble is looking for a motivated and enthusiastic Marketing & Production Coordinator who will work to build the profile of the Ensemble and increase its audience base, while also assisting in the coordination and production of performances, tours, and outreach programs.
The successful candidate will be organised, self-motivated, have a positive attitude and a passion for the performing arts industry.
ABOUT OMEGA ENSEMBLE
Founded in 2005, Omega Ensemble is one of Australia’s most ambitious classical music groups. The Ensemble regularly tours to metropolitan and regional locations around Australia, participates in national cultural festivals and produces recordings. Frequently collaborating with leading Australian and international composers, the Ensemble regularly gives the world and Australian premieres of important new musical works. Outside of the concert hall, the Ensemble facilitates a number of educational and outreach activities, including its flagship CoLAB program for talented young composers.
KEY TASKS & RESPONSIBILITIES
Marketing
-
Implementing the Ensemble’s social media strategy to engage supporters in upcoming events and build the Ensemble’s social presence and customer database

Producing supplementary content for use on social media, including documenting Ensemble activities (e.g. behind the scenes photos)

Building and maintaining the Ensemble’s database of marketing contacts
-
Adapting and distributing marketing materials to partner organisations, venues and ticketing agents, and coordinate cross-promotional activities with other arts organisations

Drafting email marketing campaigns, invitations, supporter updates, post-concert feedback and various other communications

Assisting in the design and implementation of fresh and engaging marketing and fundraising campaigns

Submitting and updating online event listings and maintaining the accuracy of public event information

Supporting media and publicity activities, such as distributing media releases and organising reviewer tickets

Liaising with designers and printers on the production and distribution of marketing materials
-
Liaising with venues to ensure events are given prominence in in-house marketing, including display of posters and flyers, and inclusion in what’s on guides, socials and newsletters

Maintaining the Ensemble’s website, including updating event listings, artist profiles, media content, and assisting with ongoing website improvement
CRM (Client Relationship Management)

Collating and maintaining supporter lists from events and marketing campaigns

Ensuring complete and accurate profiles of the Ensemble’s supporters

Assisting in fundraising campaign reporting and tracking

Assisting in stakeholder engagement and communications
Production and Events

Completing ticketing and event forms for venues, including adapting event materials to specific requirements (such as resizing images and adapting event copy).

Liaising with musicians, collaborators and partners on materials for concert programs

Assisting with pre-production activities such as booking travel and accommodation, compiling stage plans or other technical briefings, and liaising with venues on production requirements.

Maintaining the Ensemble’s score library and coordinating the distribution of parts to musicians

Updating and maintaining guest lists for events and coordinating ticket requests with box offices

Providing additional support at events including front of house or stage management roles

Compiling post-event reports
SELECTION CRITERIA
Essential
-
Excellent communication (written and verbal) and relationship management skills
-
High-level proficiency in the use of social media and online collaboration tools
-
Strong organisational and project management skills, and high attention to detail
-
High level proficiency with Microsoft Office or Google Workspace (previously G Suite)
-
An ability to work autonomously and in a team, and to manage competing priorities
-
Self motivated and focused when working in flexible office environments, such as shared offices or from home.

Ability to analyse information to provide meaningful research and reports

A passion for the performing arts, and in particular classical music
Desirable
-
A tertiary qualification in arts management, marketing, or another relevant discipline, or equivalent professional experience

Experience working with CRM databases, such as Salesforce
-
Experience using an email marketing service, such as Mailchimp or Campaign Monitor
-
Familiarity with website CMS systems, such as WordPress or Squarespace
-
Experience using photo and design software such as Photoshop, Illustrator and InDesign
-
Familiarity with classical music and chamber music repertoire
-
A basic ability to read or understand musical scores
